Best CRM for Facebook Lead Ads: Native Sync, a Connector, and the First Five Minutes
Written Oct 26, 2026
The best CRM for Facebook lead ads is one that receives the form submission without a middleman and can reply within minutes. Of the CRMs checked for this guide, HubSpot documents a native lead sync from Facebook pages, and Bigin by Zoho lists a Facebook and Instagram lead-ads integration on its Express plan at US$7 a user a month billed yearly. Pipedrive and Close route Facebook leads through connectors such as Zapier, and Zoho CRM takes them through Zoho Social's Premium plan.
Every fact here comes from the vendors' own pages, viewed as a US visitor on 18 October 2026. No product here was tested or given a score. HubSpot, Bigin, Zoho, Pipedrive, Close and Keap links can pay this site; Zapier, LeadSync and Outfunnel cannot.
Native sync, a connector, or a sister app
There are three ways a lead-form submission reaches a CRM, and they differ in cost, delay and how much can break. A native sync is built and supported by the CRM vendor. A connector such as Zapier, LeadSync or Outfunnel sits between Meta and the CRM, usually for a monthly fee and with its own limits. A sister app is a second product from the same vendor that receives the leads and passes them on, which is how Zoho does it.
How each CRM receives Facebook lead-form submissions, from the vendors' own pages and help articles read 18 October 2026.
| CRM | Route | What the vendor says | Cheapest plan on that route |
|---|---|---|---|
| HubSpot | Native | Lead syncing in the ads settings; "up to two hours" for new leads | Free tools, two users (no paid plan named in the help text) |
| Bigin by Zoho | Native | Express lists "Facebook, Instagram, LinkedIn, Tik Tok Leads Ads Integration" | Express, US$7 a user billed yearly |
| Zoho CRM | Sister app | Zoho Social Premium lists "Zoho CRM integration" and "Lead generation" | Zoho Social Premium US$40 a month billed annually, plus a CRM seat |
| Pipedrive | Connector | Marketplace listings are "by Zapier" and "by Outfunnel" | Lite US$14 a seat billed annually, plus the connector |
| Close | Connector | Close's own blog: "Close connects to Facebook through Zapier" | Solo $9 a user billed annually, plus the connector |
| Keap | Connector | No native connector found in Keap's documentation | Priced by contact count; two users included |
Two details on that table are worth reading twice. HubSpot's help article lists the permissions needed (ad account admin, page admin and leads access in Business Manager) and says new leads can take up to two hours to appear, which is fine for reporting and slow for a same-minute reply. And Pipedrive's marketplace offers no Pipedrive-built Facebook app in the listings read: both options are third-party, one from Zapier and one from Outfunnel with a 14-day free trial.
What the connector route costs
Connectors charge by volume, and lead ads are a volume channel. Pipedrive's own marketplace listing for the Zapier route says Zapier's free plan "includes 100 tasks and five Zaps per month", which a campaign producing 300 leads a month will pass in its first fortnight. Zapier's pricing page could not be read on 18 October, so no paid-plan figure is printed here; check it before budgeting.
LeadSync, built only for this job, titles its pricing page "From $24/mo"; its Business plan, with two lead sources and 1,500 leads a month included, showed $24 a month on monthly billing on 26 October 2026, with a 7-day free trial. Outfunnel's Pipedrive listing offers 14 days free. A connector adds a second bill and a second place for a sync to fail silently, so whichever you use, check it weekly against the count in Meta's own leads centre.
Speed to lead: what each CRM can do in the first five minutes
Receiving the lead is half the job. The other half is what happens next: an instant reply by email or text, assignment to a person, and a task that nags until someone calls. That needs automation, and automation is where the cheap plans differ most.
- Bigin Express lists 30 automations on its US$7 plan, enough for an instant reply and an assignment rule.
- Zoho CRM's free edition, for up to three users, lists workflow automation for routing leads to the right rep.
- Pipedrive puts "Automations and nurturing sequences" on Growth at US$39 a seat billed annually, not on Lite.
- Close marks Solo and Essentials "Workflows not included"; automated workflows start on Growth at $99 a user billed annually.
- HubSpot syncs the lead natively, but for the reply and assignment automation, check which tier your account is on before relying on it.
That list changes the ranking. Close is an excellent calling tool for a team that phones every lead by hand, and an expensive one if you want the CRM to do the first touch. Bigin is the cheapest route that does both receiving and replying inside one product.
Cost for 300 leads a month
Monthly cost for one user handling about 300 Facebook leads a month, from prices printed on 18 October 2026. Ad spend excluded.
| Route | What you pay for | Per month |
|---|---|---|
| HubSpot free tools | Native sync | $0, if your use fits the free tools |
| Bigin Express | Native integration and 30 automations | US$7 billed yearly |
| Zoho CRM Standard and Zoho Social Premium | CRM seat plus the sister app | US$54 on annual terms |
| Pipedrive Lite and LeadSync's entry plan | CRM seat plus connector | From $38 |
| Pipedrive Growth and LeadSync's entry plan | Adds automations | From $63 |
| Close Growth and a connector | Adds workflows | From $99 plus the connector |
The LeadSync figure is its advertised starting price, so treat the connector rows as floors. The general picture by team type is on the sales CRM page. Bigin is the clear low-cost answer for a small business running lead ads; HubSpot is the zero-cost start if you can live with a sync delay of up to two hours; Pipedrive is the pick for a sales team that wants the best pipeline and accepts a connector. Pipedrive lifted its annual prices after our September reading, and Growth now stands at US$39 a seat.
Before the automatic text goes out
An instant text message is the most effective first touch for many lead-ad campaigns, and it is also the one with rules attached. Read on 18 October 2026, the FCC's consumer guidance on unwanted calls and texts puts it plainly: "Commercial texts require written consent". It adds that consent rules for autodialed texts to mobile numbers apply whether or not the number is on the Do Not Call Registry. Filling in a lead form is not automatically that consent.
The practical answer is to decide before launch: either the form carries a clear statement that the person agrees to be contacted by text, with a record of it synced into the CRM, or the first automatic touch is an email and the text waits for a reply. This page is not legal advice, and a business texting at volume should have its form wording checked.
The details that break lead-ad syncs
Most failed syncs come from Meta's side, not the CRM's. HubSpot's help article spells out the common causes: the person connecting needs ad account admin access, page admin access and leads access in Business Manager, and the sync cannot be set up without all three. HubSpot's FAQ adds that custom questions on a lead form are created as single-line text properties, so a carefully typed field in the CRM will not receive them unless you map it.
Keep each lead form short and its questions mapped to fields that already exist, send a test lead before every new campaign, and decide in advance what happens to a lead whose phone number is missing. A connector that drops one malformed lead a day loses thirty a month without anyone noticing.
